Welcome to Slow 'n Steady Wellness, PLLC ("we," "us," "our," or "Slow 'n Steady Wellness"). These Terms of Service ("Terms") govern your use of our website at slownsteadywellness.com (the "Website") and the services we provide.

By accessing or using our Website or services, you agree to be bound by these Terms. If you do not agree to these Terms, please do not use our Website or services.

About Our Services

Slow 'n Steady Wellness provides the following services:

  • Individual Therapy: Mental health therapy services for adults and adolescents (Texas residents only)

  • Coaching Services: Professional coaching available worldwide

  • Professional Consultation: Clinical consultation for mental health professionals

  • Educational Workshops and Groups: Psychoeducational workshops and group facilitation

  • Psychedelic Preparation & Integration: Coaching services for individuals preparing for or integrating psychedelic experiences

Eligibility

For Therapy Services:

  • You must be at least 13 years of age (minors require parental/guardian consent)

  • You must be a resident of Texas (therapy services are only available to Texas residents)

  • You must be able to provide informed consent for treatment

For Coaching and Other Services:

  • You must be at least 18 years of age or have parental/guardian consent

  • Services are available worldwide

Restrictions:

By using our services, you represent and warrant that:

  • All information you provide is accurate and complete

  • You will not use our services for any unlawful purpose

  • You are not prohibited from receiving services under applicable laws

No Therapeutic Relationship Through Website Alone

Important Notice: Browsing our Website, reading content, or contacting us through email or forms does NOT establish a therapist-client relationship.

A therapeutic relationship is only established when:

  1. You have completed intake paperwork

  2. We have mutually agreed to work together

  3. You have received and acknowledged our informed consent documents and Notice of Privacy Practices

  4. We have scheduled your first therapy session

Emergency Situations and Crisis Support

Our services are not for emergencies. If you are experiencing a mental health crisis or emergency, please:

  • Call 911 for immediate emergency assistance

  • Call or text 988 for the Suicide and Crisis Lifeline (24/7 support)

  • Go to your nearest emergency room

  • Contact the National Crisis Text Line: Text HOME to 741741

Our therapy and coaching services are not equipped to provide emergency or crisis intervention. Response times to emails or messages may vary and should not be relied upon in urgent situations.

Scheduling and Appointments

Booking Appointments

Appointments may be scheduled through our online scheduling system, by phone, or by email. All appointments are subject to availability.

Appointment Confirmation

You are responsible for ensuring you have the correct date, time, and access information for your scheduled appointments.

Late Arrivals

If you arrive more than 15 minutes late to a scheduled session, we reserve the right to cancel the appointment, and you may be charged the full session fee.

Cancellation and No-Show Policy

Cancellation Requirements

  • 24-hour notice required for all cancellations or rescheduling

  • Notice must be provided at least 24 hours before your scheduled appointment time

  • You may cancel by phone, email, or through our scheduling system

Late Cancellations and No-Shows

  • Cancellations made with less than 24 hours notice will be charged the full session fee

  • Failure to attend a scheduled session without notice ("no-show") will be charged the full session fee

  • Late cancellation and no-show fees are not covered by insurance

Exceptions

We understand that emergencies happen. Exceptions to our cancellation policy may be made on a case-by-case basis for documented emergencies (serious illness, family emergency, etc.). Please contact us as soon as possible if you experience an emergency.

Payment Terms

Fees and Rates

Current service rates are listed on our Services page and are subject to change. You will be informed of any rate changes with at least 30 days notice.

Current Rates:

  • Individual Therapy: $175 per session

  • Coaching Services: $175 per session

  • Parent Coaching: $175 per session

  • Psychedelic Preparation & Integration: $175 per session

  • Professional Consultation: Contact for pricing

  • Workshops and Groups: Contact for pricing

Payment Methods

We accept payment via credit card and debit card through our secure payment processor, Stripe. Payment information is collected and processed in accordance with PCI compliance standards.

When Payment is Due

  • Private Pay Clients: Payment is due at the time of service

  • Insurance Clients: Co-pays, deductibles, and any patient responsibility amounts are due at the time of service

Equity Pricing

We offer sliding scale and reduced-fee appointments for clients with limited income. Please inquire during your initial consultation if you need financial assistance.

Overdue Balances

Accounts with overdue balances may result in:

  • Suspension of scheduling privileges until payment is received

  • Collection efforts, which may include third-party collection agencies

  • Reporting to credit agencies (as a last resort)

Refund Policy

No Refunds for Completed Services

Services are non-refundable once rendered. This includes:

  • Therapy sessions that have been conducted

  • Coaching sessions that have been completed

  • Workshops or groups that have taken place

Advance Payments

If you have paid in advance for a session that you cancel with proper notice (24+ hours), the payment will be credited toward a future session. No cash refunds will be issued.

Disputes

If you have concerns about billing or fees, please contact us within 30 days of the charge to discuss resolution.

Insurance and Third-Party Payments

We currently accept a limited number of insurance plans for individual therapy services only. Insurance verification and benefits are your responsibility.

Your Insurance Responsibilities:

  • Verify your insurance coverage and benefits before services begin

  • Understand your co-pay, deductible, and out-of-pocket responsibilities

  • Provide accurate and current insurance information

  • Pay any required co-pays or deductibles at time of service

Our Responsibilities:

  • Submit claims to your insurance company on your behalf (for accepted plans)

  • Provide you with documentation (superbills) for out-of-network reimbursement when requested

We cannot guarantee that your insurance will cover services. You are ultimately responsible for all charges regardless of insurance coverage.

Good Faith Estimate

Under federal law (No Surprises Act), clients who are not using insurance or who are using out-of-network benefits have the right to receive a Good Faith Estimate of expected charges for services.

You may request a Good Faith Estimate:

  • Before scheduling your first session

  • At any time during treatment

If you receive a bill that is at least $400 more than your Good Faith Estimate, you have the right to dispute the bill. You must dispute the bill within 120 calendar days of the date on the bill.

Telehealth Services

Therapy and coaching services are provided via secure, HIPAA-compliant telehealth platforms.

Your Responsibilities:

  • Ensure you have a reliable internet connection

  • Participate from a private, confidential location

  • Test your technology before scheduled sessions

  • Have a backup plan for technology failures (phone number for contact)

Our Responsibilities:

  • Use secure, encrypted platforms for all telehealth sessions

  • Protect your privacy and confidentiality

  • Maintain professional standards during virtual sessions

Technology Issues:

If technology issues prevent a session from occurring, we will work with you to reschedule without penalty. However, you are responsible for ensuring basic technology requirements (internet, camera, microphone) are met.

Confidentiality and Privacy

We are committed to protecting your privacy and maintaining confidentiality in accordance with applicable laws, including HIPAA (for therapy clients) and professional ethical standards.

When Confidentiality May Be Broken:

Texas law and ethical guidelines require us to break confidentiality in certain situations, including:

  • Suspected child abuse or neglect: We are legally required to report

  • Suspected elder or vulnerable adult abuse: We are legally required to report

  • Imminent danger to self or others: If we believe you are at serious risk of harming yourself or someone else

  • Court orders: When legally compelled by a valid court order or subpoena

  • Your written authorization: When you provide written consent to disclose information

Intellectual Property

Our Content

All content on our Website, including text, graphics, logos, images, and software, is the property of Slow 'n Steady Wellness or its licensors and is protected by copyright, trademark, and other intellectual property laws.

Your Use of Content

You may view and use content from our Website for personal, non-commercial purposes only. You may not:

  • Copy, reproduce, or distribute content without permission

  • Modify or create derivative works from our content

  • Use content for commercial purposes

  • Remove copyright or proprietary notices

Client Materials

Any materials you provide during services (written exercises, artwork, etc.) remain your property. We may keep copies as part of your clinical record but will not share or publish your materials without your explicit written permission.

Scope of Services and Limitations

Not a Substitute for Emergency Care

Our services are not appropriate for emergency situations or acute mental health crises. See the "Emergency Situations" section above for resources.

Not Legal or Medical Advice

While we provide mental health services, we do not provide legal advice, medical advice, or psychiatric medication management. We may refer you to appropriate professionals for these services.

Coaching vs. Therapy

Coaching services are distinct from therapy:

  • Coaching focuses on present and future goals, personal development, and skill-building

  • Coaching does not diagnose or treat mental health conditions

  • Coaching is not covered by health insurance

Results Not Guaranteed

While we are committed to providing high-quality services, we cannot guarantee specific outcomes or results. Therapeutic and coaching progress depends on many factors, including your engagement and commitment to the process.

Professional Boundaries

To maintain professional and ethical standards:

  • We do not accept friend requests or follow clients on personal social media accounts

  • We do not engage in dual relationships (social, business, or romantic) with current clients

  • We maintain professional boundaries during and after the therapeutic relationship

  • Gifts should be small and token in nature only

Termination of Services

Your Right to Terminate

You have the right to end services at any time. We encourage you to discuss your decision with us so we can provide appropriate closure and referrals if needed.

Our Right to Terminate

We may terminate services in the following circumstances:

  • Non-payment of fees

  • Repeated violations of our cancellation policy

  • Threatening, abusive, or inappropriate behavior

  • When services are no longer clinically appropriate

  • Conflicts of interest

When we initiate termination, we will provide appropriate notice and, when clinically appropriate, referrals to other providers.

User Conduct

When using our Website or services, you agree not to:

  • Harass, threaten, or intimidate our staff or other clients

  • Use services for any unlawful purpose

  • Impersonate another person or entity

  • Interfere with the security or functionality of our Website

  • Transmit viruses, malware, or harmful code

  • Collect information about other users without permission

Violation of these terms may result in immediate termination of services and/or legal action.

Limitation of Liability

Arbitration
